What is City Sender?

City Sender is a platform, not a courier. It works with carriers, makes the booking on your behalf and supports you before, during and after your shipment. The physical pickup, transport and delivery are carried out by the courier you choose. When needed, City Sender contacts the courier for you, for example about a delay or a compensation claim.

The advantage is that you don't need an account with every courier or to check prices on several websites. On City Sender, prices are up to 60% lower than booking the same service directly with the courier.

How City Sender works in 8 steps

  1. Get a quote with the destination, weight and dimensions.
  2. Compare the available services and choose the one that suits you.
  3. Enter the sender, recipient and contents details.
  4. Pay online with the method you prefer.
  5. Receive the confirmation, tracking number and shipping label by email.
  6. Prepare the parcel and stick on the label.
  7. The courier collects the parcel, or you drop it off at a collection point.
  8. Track the shipment until it's delivered.

Step 1: Get a shipping quote

To see prices, you'll need:

  • the pickup country and postcode,
  • the delivery country and postcode,
  • the number of parcels or pallets,
  • the weight of each parcel,
  • the length, width and height of each parcel,
  • whether you're sending documents, a parcel or a pallet.

Weigh and measure before you get a quote

The price is based on the greater of the actual weight and the volumetric weight of each piece, calculated from length × width × height. If the parcel turns out heavier or bigger than you declared, an extra charge may apply. Seal the box first, then weigh and measure it.

If your shipment has non-standard dimensions or special requirements and no instant price appears, ask for a custom quote through the contact form. Send the number of pieces, dimensions, weight, contents, value, addresses and whether you want additional insurance.

Step 2: Choose the service that suits you

For each available service you see the cost, the estimated delivery time, what's included and the weight and size limits. Under each service's “Details” you also see the insurance cover included in the price. Services come in two types:

Door to Door or Point to Door?

Door to Door
The courier collects the parcel from your address and delivers it to the recipient's address.
Point to Door
You drop the parcel off at a nearby collection point or courier depot, and it's delivered from there to the recipient.

In some remote areas, pickup or delivery may only be possible from a local depot. If you're not sure about your address, ask our team before you book.

Step 3: Enter the shipment details

  • Sender: full name or company, address, phone number and email.
  • Recipient: full name or company, full address, phone number and email where required.
  • Shipment: description of the contents, declared value where required and customs details for shipments outside the EU.

Give a phone number in the pickup country and in the delivery country that someone will answer at the time of pickup and delivery. Double-check the address: a mistake here can delay delivery.

Shipping outside the EU?

The proforma invoice is filled in online as part of the booking. List the contents before you seal the box, then seal it, weigh it and measure it.

Step 4: Pay the way you prefer

Payment methods

Card
Credit or debit card, through the secure systems of Piraeus Bank or Viva Wallet. City Sender doesn't store card details.
IRIS
Instant payment through IRIS, from your bank's app.
Payment link
A Viva Wallet payment link sent to your email, to pay by card, IRIS or Google Pay.
Bank transfer
The order is confirmed once we receive proof of transfer for the full amount.
Account balance
Pay from the balance available in your profile.
Credit
For approved business customers, under contract.

Step 5: What happens after payment?

Once payment is confirmed:

  • you receive an order confirmation email,
  • the courier issues the tracking number,
  • the shipping label is emailed to you, and for shipments outside the EU the proforma comes with it, ready to print,
  • the courier pickup is scheduled.

Step 6: Prepare the parcel

  • Pack the contents well, in a sturdy box with protective material.
  • Remove or cover any old labels and barcodes.
  • Stick the shipping label on the top of the box, with the whole barcode visible.
  • For shipments outside the EU, put the proforma in a clear pouch on the outside of the parcel.
  • If you're sending a suitcase, put it inside a box, otherwise an extra packaging charge may apply.

See exactly where and how to attach the shipping label. If you want to send more pieces than you declared, let us know before pickup so the booking can be adjusted.

A box instead of a suitcase

If your things fit in a box, it's often cheaper to send them in a box than inside a suitcase.

Step 7: Courier pickup

With Door to Door, the courier comes to the address you gave. Make sure the parcel is ready and someone is there. With Point to Door, you take the parcel to the collection point or courier depot yourself. If the courier arrives and the shipment has been cancelled, don't hand over the parcel.

Step 8: Track your shipment

With the tracking number you can see where your shipment is until final delivery. The delivery times you see when booking are estimates, not guarantees, as they also depend on outside factors such as customs. If you notice anything unusual in tracking, let us know straight away.

Is my shipment insured?

Every parcel shipment booked through City Sender includes basic insurance cover, shown in the service's “Details” and already included in the price. If that's not enough, you can declare the value of the shipment and choose additional cover at an extra cost, up to €20,000 per shipment. City Sender isn't an insurance company, and cover applies to the contents, not the packaging.

Poor packaging isn't covered

Insurance cover doesn't apply when packaging is unsuitable or the contents are prohibited items. Sturdy packaging is the best protection for your parcel.

Can I cancel a shipment?

Yes, before pickup. Send a cancellation request through the contact form. The amount is credited to your account for future shipments or refunded to the original payment method within 15 days of the cancellation being accepted. Once the courier has collected the parcel, the shipment can't be cancelled.

What if my parcel is delayed, lost or damaged?

  • Delay: check the tracking and contact us. We ask the courier to investigate and update you as soon as we hear back.
  • Loss: if the parcel isn't delivered within 5 days of the expected date, let us know in writing at info@citysender.gr with a list of contents and their value, a description or photos, and how it was packed.
  • Damage: report it to the driver on delivery or sign “with reservation”. Send us in writing, within 20 working days, photos inside and outside the parcel, proof of purchase and a list of contents.

City Sender submits the compensation claim to the courier on your behalf and follows it up. The final decision on compensation is made by the courier or the insurer.

Who pays duties on international shipments?

Within the EU there are no customs duties or import VAT. For shipments outside the EU, import duties, taxes or fees may apply under the destination country's rules. They aren't included in the shipping price and are normally paid by the recipient.

What do I get with an account?

An account is optional, but handy if you ship often. You see all your shipments in one place, pay from your balance and earn CityPoints: 2% of every shipment, on the VAT-inclusive amount, comes back as credit for your next shipments. CityPoints can't be exchanged for cash.

What can't I send?

Some items can't be shipped, under the courier's terms and the laws of the pickup and delivery countries. For example:

  • animals and animal products,
  • dangerous, flammable and explosive materials, aerosols and poisons,
  • weapons and ammunition,
  • narcotics and non-prescription medicines,
  • cash, precious stones and metals,
  • antiques and irreplaceable items,
  • items that need a temperature-controlled environment.

Common mistakes that delay a shipment

  • Weight or dimensions guessed before the box was sealed.
  • An incomplete address or a phone number that isn't answered.
  • Old labels left on the box.
  • A vague description of the contents for a shipment outside the EU.
  • A suitcase sent without a box.
  • A parcel that wasn't ready at pickup time.

Will a courier collect the parcel from my home?

Yes, with Door to Door services the courier collects from the address you give. With Point to Door services you drop the parcel off at a collection point. You can see which applies to each service before you book.

When will my parcel be delivered?

When booking you see the estimated delivery time for each service. It's an estimate, not a guarantee, as it can be affected by factors such as customs or public holidays. You can follow the shipment with the tracking number.

Can I send a parcel from abroad to Greece?

Yes. City Sender handles shipments within Greece, from Greece to other countries and from other countries to Greece. Just enter the pickup and delivery countries to see the available services.
